Administrative and Sales Assistant (Austin)

Event Equipment Provider (large corporate picnics, city and school festivals, and family parties) located near Manchaca and FM 1626, Austin seeking an Administrative and Sales Assistant to support team with office management and marketing/sales tasks.

Primary Sales Assistant Responsibilities
  • Taking phone orders from customers
  • Learn and understand the basics of our business and all the equipment/products we have to offer
  • Be able to meet and exceed our sales requirements
  • Be able to complete marketing presentations/marketing campaigns
  • Proficient using CRM software like infusionsoft
  • Be willing to get “hands on” with the equipment we have setting up on site
  • Proficient on all areas of Social media marketing and be able to maintain these accounts
  • Personal assistant to CEO/management
  • Perform day to day duties as necessary for CEO/management

Primary Administrative Responsibilities
  • Assist with proposals -- double check estimate calculations, data entry of proposal specifics, mail to client, filing
  • Maintain all event records including agreements, insurance, workers' compensation, etc. with due dates in electronic and hard copy filing systems
  • Communicate with clients and suppliers regarding bids, job confirmations, plans, and change orders; review and maintain all records
  • Answer multi-line phone system professionally and in a timely manner
  • Transfer calls as appropriate or take detailed messages
  • Greet visitors politely and advise appropriate personnel of their arrival
  • Assist with preparing for meetings (supplies, coordination of refreshments/meals), as needed
  • Making files and filing for the office
  • Receiving and sorting incoming mail
  • Ensure that office, computer/printer, and kitchen supplies are stocked and well organized
  • Ensure that the office is presentable and in working order, including office machines, fixtures, services, etc. for the interior and the exterior of the building
  • Various clerical and administrative tasks as needed to support management, field staff, and co-workers

Position Requirements
  • Professional telephone etiquette; ability to be clearly understood over the phone
  • Ability to work effectively and efficiently with or without supervision
  • Ability to work effectively with team members
  • Ability to maintain confidentiality in and outside the workplace
  • Intermediate to Advanced MS Office skills (Word, Excel, & Outlook)
  • Additional experience, skills, and computer aptitude is preferred
